Summary of Position and Duties:
The Human Resources Division is accepting applications for the purpose of filling one (1) vacancy in the position of Special Projects Coordinator in the Village of Addison Administration Department. The Special Projects Coordinator is an at-will, FLSA exempt, position in the Administration Department of the Village of Addison. Under administrative direction of the Mayor and Village Manager, this person performs highly responsible administrative duties acting in a liaison capacity between the Village of Addison Administrative offices and the retail, governmental (i.e., local educational institutions, park district, etc.), commercial and industrial sectors of the Village. The Coordinator will be expected to develop public and private partnerships in order to implement programs that complement the needs of the business community. The Coordinator will be expected to manage and expand upon existing Village programs, as well as, develop new initiatives that all have the focus of assisting the Addison business community. The Coordinator will also work closely with educational institutions, Addison Chamber of Commerce, other taxing bodies, civic organizations and the Mayor’s Workforce Development Program Representatives. The Coordinator will be expected to be able to successfully lead multiple projects and disparate groups simultaneously in order to advance Village initiatives, and solve problems that might arise between those groups. The Coordinator will also be expected to develop and maintain close working relationships with disperate groups (taxing bodies, educational institutions, civic organizations, businesses, etc.) for the purpose of advancing program initiatives. Work is of considerable difficulty and is reviewed for progress and innovativeness by the Mayor and Village Manager. Job responsibilities are continually changing, as this position necessitates actively seeking out new ways to improve community relations efforts as they relate to the business community in the Village of Addison.
Duties of the Special Projects Coordinator include, but are not limited to:
• Through the direction of the Mayor and Village Manager and working in concert with District 88 and the College of DuPage, the Coordinator will be responsible for overseeing the Mayor’s Workforce Development Program; this includes scheduling and planning the meetings, inviting guests, developing the agenda, identifying and developing important and innovative Program initiatives and making presentations on said initiatives to various stakeholders. The Coordinator will also be responsible for increasing the membership of Addison business owners in the Program.
• Working with various Addison community and educational groups and members of the Mayor’s Workforce Development Program organization, the Coordinator will be in charge of identifying the present and future training needs of potential employees of the local Addison business community; this includes working with educational institutions to prepare students ahead of time with training and education that will prepare them for a career in any one of the local Addison businesses.
• Initiate, respond to, and maintain direct contact with service and fraternal organizations, governmental agencies, schools, institutions of higher learning, businesses, houses of worship, health and human service agencies, social service agencies, Village elected and appointed officials and staff, and members of the general public in the pre-planning, execution and post-planning of all events involving the services or facilities under the Coordinator’s control.
• Working closely with representatives of the Community Relations Department, assist in the development and implementation of all necessary publicity for events under their control as needed, including internal channels of communication (cable television, web-site, e-newsletter, and social media), signs and banners, contact with media in promotion of events, and other methods of publicity as may be necessary.
• Provide assistance to organizations, individuals, schools and businesses in the planning of special events under their control.
• Provide prompt customer service and promote activities designed to open avenues of communication, promote public understanding, and gain support for Village activities and objectives in the business community.
• Identify, address, and recommend solutions to problem areas raised through open dialog with the Addison business community; work with Village Staff to attempt to resolve pressing issues and problems in the business community.
• Recommend and assist in the implementation of goals and objectives under the control of the Coordinator, as established by the Mayor, Village Board and Village Manager related to the business community; establish schedules and methods for providing assistance to the business community.
• Work to create an Addison Industrial Area Organization for the purpose of representing the needs, issues and challenges facing the Addison industrial community to the Village Administration; this includes developing the membership of the organization, creating the agenda for regular meetings, implementing initiatives that arise out of the organization, measuring their effectiveness and adjusting procedures as needed.
• Working with other applicable organizations, the Coordinator will be expected to organize and host job fairs in the Village of Addison.
• Monitor the performance of various initiatives and programs related, but not limited to: Mayor’s Workforce Development Program, Addison Chamber of Commerce, Job Fairs, Addison Industrial Area Organization, Choose DuPage, etc.; recommend and implement modifications to existing programs and procedures to ensure continuing success of the programs.
• Serve as the liaison between the Mayor, Village Board, Village Manager, the retail, commercial and industrial community, Chamber of Commerce, other governmental agencies, civic groups and educational institutions as they relate to programs under their control; appear before special interest and civic groups to present materials dealing with Village of Addison and its business community programs and activities.
• Develop survey instruments to survey the Addison business community; conduct surveys of the Addison business community to determine their particular needs, challenges and issues; interpret and record survey results; implement changes to existing programs aimed at assisting the business community and present new ideas and programs, as a result of the survey results, to applicable stakeholders.
• Coordinate and facilitate meetings and engagement efforts between business leaders, elected officials, civic groups, educational institutions, Village Staff and other applicable units dealing with the issues and challenges facing the Addison business community; identify common themes and propose resolutions.
• Work closely with the Addison Chamber of Commerce in order to increase the membership, visibility and scope of the group.
• Successfully lead multiple projects and disparate groups (taxing bodies, educational institutions, civic organizations, businesses, etc.) simultaneously in order to advance Village initiatives, and solve problems that might arise between those groups. The Coordinator will also be expected to develop and maintain close working relationships with those disperate groups for the purpose of advancing program initiatives.
• Makes presentations to Village Board, commissions, civic groups, business groups and the
general public on various Village initiatives and issues.
• Working closely with the Village of Addison retail, commercial and industrial sectors, develop and maintain a directory of businesses in Addison, including their address, key company contacts, products they produce and sell, type of training and skill-sets their employees are expected to possess, etc.
• Serves as a resource for the Village of Addison business community, may help to negotiate significant and controversial issues between the business community and the Village; responds to and helps to resolve difficult and sensitive issues between the business community and the Village of Addison.
• Must wear all required safety equipment (i.e., gloves, ear plugs, etc.) for the duty at hand according to department, equipment and regulatory specifications; report near miss accidents; comply with proper P.P.E. usage and follow required JSA’s; attend all required Village and department training; perform vehicle and work area evaluations according to department specifications and as required on a daily basis; initiate training topics or issues as needed.
• Performs duties in strict accordance with the Department/division SOP/safety manual, is expected to report any hazards and observed infractions immediately to the supervisor and may serve on departmental safety committee.
Required and preferred minimum requirements to be an eligible candidate for this position:
• Requires graduation from an accredited college or university with an undergraduate degree in any one of the following: communications, public relations, political science or public administration; graduate degree in the aforementioned fields of study is highly desirable.
• Possess at least four (4) years of working experience in public relations, economic development, public administration and/or communications, preferably in a governmental setting.
• Possession of working knowledge of Choose DuPage and other DuPage County workforce organizations, as well, as experience successfully leading multiple projects and disparate groups simultaneously in order to advance an organization’s initiatives; this includes solving problems that might arise between those groups is strongly preferred.
• Possession of working experience and knowledge developing and maintaining close working relationships with disparate groups (taxing bodies, educational institutions, civic organizations, businesses, etc.) for the purpose of advancing program initiatives for an organization is strongly preferred.
• Possess working knowledge of the data processing systems (personal computers, Microsoft Office Software, e-mail).
• Must possess a valid Class ‘D’ Illinois Driver’s License free from incidence that may result in license revocation or suspension.
• Ability to successfully complete and pass an oral interview, a full police background investigation, including a physical examination and drug screen, where applicable.

Work Environment Factors:
Ability to work under generally safe and comfortable conditions where exposure to environmental factors may cause discomfort and poses a limited risk of injury. The noise level in the work environment is usually low to occasionally moderate.

Salary:
The salary range for the position is commensurate with the qualifications and experience of the selected candidate. The individual in this position will receive a very competitive benefit package and work 37.5 hours per week, at a minimum.
Required Test and Screenings:
The candidate selection process consists of: a review of the candidate’s past work experience and skills, a full police background investigation, physical examination, including a drug screen, and a personal interview, all where applicable. Successful candidates must pass all required, applicable screenings and tests administered in order to be a candidate for this position. However, passing all required screenings/tests and completing a personal interview, does not guarantee hire by the Village, as the ultimate decision to hire anyone is at the sole discretion of the Village of Addison.
